"Quality management and preservation in the age of mass processing"

The IFLA Preservation and Conservation Section joint with Rare Books and Special Collections Section and Audiovisual and Multimedia Section invites interested professionals  to submit proposals for the open session to be held in Columbus, Ohio, USA from 13-19 August 2016.

In many institutions, preservation (physical and digital) plays an increasingly important role, and the efforts in terms of staffing and investment in this area are rising. But what about the performance review, both in terms of measures applied (which are often carried out with external service providers), as well as in terms of the internal library processes themselves.

In addition to the challenge of the increasing number of objects that need to be addressed, the interfaces to other processes must be focused at the same time, for example, in the field of digitization. The need to replace single item workshop-related conservation by production-wise batch processing becomes evident in any large-scale programs from digitization to mass deacidification. However, pre-image capture conservation preparation and any post-mass production housing needed at the conclusion of the project are still part of the workflow. Mass production still involves single item review, stabilization and conservation.

How should these processes be organized, what tools are necessary and in use, what standards are available?  How do libraries solve the problem of systematic documentation and single item tracking? How will heritage institutions manage the increasing requirements with no extra provision of resources?

We seek pragmatic use-cases and examples to enable a discussion on best practice and exchange on this topic.

Proposals for papers should be no more than one page in length. If selected, speakers will have 15-20 minutes to present their results and 5 minutes for a question and answer period during the conference session.

The subject line of all submissions should be “IFLA_PCRAS_“ followed by your last name. For example, “IFLA_PCRAS_Last-tname”.

Proposals should include the following information:

  • Name, title, and institution of speaker(s)
  • Title of proposed presentation
  • Address and email address of speaker(s)
  • Brief biographical statement about each speaker including information about the qualifications of the speaker to address the proposed topic
  • One or two paragraph discussion of the main points of the paper including an outline of the takeaways a conference attendee will obtain by having the topic presented at the conference
  • Language of presentation
  • Contact information for response to the proposal

Important dates

All proposals must be received by 15 March 2016.

The contact person for each proposal will be informed by the end of March 2016 whether their proposal has been accepted or not.

The authors will be required to submit the full, at least 5 pages paper for inclusion in the program. It must be written in one the official languages of IFLA by 16 May 2016.

Please note

The committee is looking for papers that present real-world solutions. Papers that focus on solutions that are usable in multiple library contexts will receive higher consideration for inclusion in the conference program. Papers that are strictly theoretical or inapplicable to other environmental contexts are less likely to be accepted for inclusion in the program.

Authors are required to permit non-exclusive publication of papers chosen for this session on the IFLA website and digital library. Papers that are accepted but not presented in person at the conference will not be made available on the official conference website nor will they be considered for nomination as a best paper of the conference.

At least one of the paper’s authors must be present to deliver a summary of the paper during the program in Columbus, Ohio. Abstracts should only be submitted with the understanding that the expenses of attending the conference will be the responsibility of the author(s)/presenter(s) of accepted papers.

All papers that are presented at the WLIC 2016 will be made available online via the IFLA Library under the Creative Commons Attribution 4.0 license.

Authors of accepted papers must complete the IFLA Authors’ Permission Form.

All expenses, including registration for the conference, travel, accommodation etc., are the responsibility of the authors/presenters. No financial support can be provided by IFLA, but a special invitation letter can be issued to authors.
